Privacy Policy

This Privacy Policy explains how SalesApex, operated by BA Media & Marketing LLC, collects, uses, and shares personal information. It covers two kinds of people: our customers (the contractors who subscribe) and the end customers whose information subscribers enter into the Service.

1. Information we collect

From subscribers (account holders)

• Account details: name, email, phone, company name, role, and password (stored only as a salted hash — never in plain text).
• Billing details processed by Stripe (we receive a customer/subscription identifier and status; we do not store full card numbers).
• Usage and diagnostic data: log entries, IP address, and actions taken in the app, used to operate and secure the Service.

End-customer information entered by subscribers

• Names, property and mailing addresses, phone numbers, email addresses.
• Job details: project type, scope, pricing, notes, appointment dates, and photos.
• Approximate geographic coordinates derived from an address (for maps and directions).
• Electronic signatures on contracts and change orders, where used.

SalesApex processes end-customer information on behalf of the subscriber, who is responsible for having a lawful basis to collect and enter it.

2. How we use information

• To provide the Service: create and send estimates, invoices and contracts; show leads, projects and the calendar; generate maps and directions; deliver notifications.
• To process subscription billing through Stripe.
• To generate draft content with AI (see the AI Disclaimer). Address and job text may be sent to Anthropic to produce a draft; it is not used to train models by us.
• To send email on the subscriber's behalf via Resend.
• To secure the Service, prevent abuse, and comply with law.

We do not sell personal information, and we do not use end-customer information for our own advertising.

3. Third parties and subprocessors

We share information with service providers only as needed to run the Service. See the full list and purposes on our Subprocessors page. In summary: Stripe (payments), Google Maps/Places (address lookup, maps, directions), Anthropic (AI drafting), Cloudflare R2 (photo and file storage), Resend (email delivery), and our hosting provider (application hosting and database).

4. Photos and files

Photos and files you upload are stored with our storage provider (Cloudflare R2) and served to your team through time-limited links. Removing a photo in the app deletes it from storage.

5. Retention

We retain your data for as long as your account is active and as needed to provide the Service. On request we will delete your data as described below, subject to limited retention required for legal, tax, or security reasons.

6. Security

We use industry-standard measures including hashed passwords, signed session cookies that scripts cannot read, encryption in transit, role-based access enforced on the server, and per-company data isolation. No system is perfectly secure; we cannot guarantee absolute security.

7. Your California privacy rights (CCPA/CPRA)

If you are a California resident, you have the right to:

• Know what personal information we hold about you and how it is used and shared.
• Access a copy of that information.
• Delete your personal information, subject to legal exceptions.
• Correct inaccurate personal information.
• Opt out of sale or sharing — note that SalesApex does not sell or share personal information as those terms are defined under California law.
• Be free from discrimination for exercising these rights.

To exercise these rights, contact Office@salesapex.app or use our Data Deletion page. We will verify your request before acting on it. If you are an end customer of one of our subscribers, please contact that business directly, as they control your information; we will assist them in responding.

8. Children

The Service is a business tool and is not directed to children under 16, and we do not knowingly collect their information.

9. Changes

We may update this policy; changes are posted here with a new "last updated" date.
